Clarification Service

In their professional daily work employees often send data unencrypted to the recipients of their emails. As the sending of unencrypted emails containing personal data infringes on the Federal Data Protection of Germany (Bundesdatenschutzgesetz / BDSG) (appendix section 9, sentence 1) and possibly also on internal company regulations, a technological solution is required that makes it possible to send data to the recipient in a secure way.

Description

The SEEBURGER Clarification Service ensures the secure and retraceable exchange of personal data. Our service can be used via your web browser and is easy to operate. Users can transfer large amounts of sensitive data in a way that is safe and in compliance with the law. In this way employees can initiate, manage and monitor as many data transfers with external business partners or colleagues as they wish. The unprotected exchange of personal data via email will be a thing of the past.

Ready for immediate use

You can use the Clarification Service as a web-based application without any prior program installations or other additional efforts. Simply register with the SEEBURGER Cloud, book our Clarification Service and use it right away.

Keeping track

Our Clarification Service groups all incoming and outgoing emails concerning a clarification case into one conversation, with the last email at the top of the conversation list. The benefit you derive from this is that the days when you had to trawl through tons of messages to find a certain email are gone. Instead, all emails that concern a certain clarification case can be found and retrieved at once.

Lawful and secure

Our service complies with the legal requirements of the German Data Protection Act (Bundesdatenschutzgesetz / BDSG) and offers additional security thanks to

Transfer personal data lawfully also when processing clarification cases in the area of market communication. The SEEBURGER Clarification Service enables you to:
  • transfer personal information in a fast, easy and secure way for the purpose of processing clarification cases in the area of market communication
  • fulfill the legal requirements of the German Federal Data Protection Act (Bundesdatenschutzgesetz / BDSG) regarding the processing of clarification cases.
  • view and answer clarification cases or mark them as being processed in the web portal we provide to you.
  • download personal data of the clarification cases: an easy way to keep track of the locations where personal data is stored in your company.
  • send clarification cases quick and easy with the help of email templates in the web portal: we prepared email templates for standard clarification cases. Simply choose a template, add a recipient and upload the file. You can check the clarification case and edit it before sending it to the recipient.
  • Create and manage your own email templates for clarification cases.

Other SEEBURGER services

SEEBURGER offers other services for the utilities sector. We are currently working on connecting and integrating our Clarification Service with the Utilities Process Cockpit for SAP IS-U and with our MaKo Cloud Service, which will enable you to process and send clarification cases directly from these services when you are using them.

Further information

We would like to draw your attention to the following information regarding the SEEBURGER Clarification Service:
  • The maximum upload volume for attachments per user is limited to 500 MB per month.
  • Attachments that are not downloaded will be deleted after one month.*

Price

No further fees have to be paid for the SEEBURGER Clarification Service aside from the user fee mentioned above. The user fee amounts to:

We would like to draw your attention to the following information regarding the SEEBURGER Clarification Service:

  • The maximum upload volume for attachments per user is limited to 500 MB per month.

Each month the Clarification Service is “activated” will be billed as a full month. In case you no longer want to pay for a user, simply use the My Company application to deprive the user of his or her access rights. In case you do not have any administrator rights, please contact the local IT administrator in your company.
